Wrapping up the Nightmare Concert weeks!

... and then the nightmare concert session was all finished and completed. 5 concerts with 5 different programs in the span of a couple weeks, with the last four in the span of a single week!

And before I can go and start pottering around in the garden again, it is probably a really good idea to tidy up all the administrative, logistic, and financial things before they pile up and I don't really remember what I have done or not.

First things first... invoicing the concert organisers, claiming the ticket sales from the booking service and then collecting the Square and cash ticket sales. At the same time, I just need to consolidate and record the ticket numbers and types for general reporting... just to show that we are growing and also attracting a decent number of younger audience members. As always, we outdid our expectations on the amount of tickets sold...

Next up, doing the social media wrap up... photos and a general thank you to everyone who came out to support us, plus a repost of the local media reviews. And even better... collecting all the personal emails, texts, and Facebook comments that said nice things about the concert... so far, we haven't had any bad feedback. So far... well, there was one, but I would argue that that was a self-inflicted thing... and in the end, we managed that one gracefully and perhaps got a collaboration out of it.

Then off to collect and import into Mailchimp all the new subscribers from the pre-ticketing flows. We are pretty careful about who we add to the mailing list... if there is a "no", then it means "no". I have heard of many groups just adding people anyway... because they figure that it is the best way to contact people, and the worst that they can do is unsubscribe. However, I know that if that happened to me (and it has....), I unsubscribe AND I'm poopy that I got added.... which doesn't make me want to support them any more as I think it is a bit of a dick-move.

So, with the new subscribers added, we will need to write a proper thank you via the mailing list... not today, later in the week when I'm better rested (my wife and I had a little celebration for surviving the week, and I'm more than a little bit fuzzy brained now!).

Then writing out personal thank you emails to volunteers and people who donated extra during the ticketing flow. A little personal thank you, and a check to see if they would like to be listed on our website as a supporter, or if they would prefer to remain anonymous.

During one of these exchanges, one of our regular attendees said that they would make a more substantial donation to our tax-deductible portal... and... WOW!!!

Most importantly, we need to make sure that our guest artists are properly paid on time. Emails with the invoicing information is ready to go as soon as the concerts are finished, and as soon as we receive the invoices, we pay them IMMEDIATELY! As fellow freelancers, we know how annoying it is to wait for payments... or even worse, to have write and chase them up. This time around, despite having so many concerts, we were operating mostly as the core ensemble of just myself and my wife. So, only one guest to pay in the last concert!

Lastly... collecting the recordings as well. We will take a look and listen at them in the coming months and post what we can to YouTube and elsewhere.... but for the moment, they are for the archives. This coming week, we have a few hours to make a few more recordings... single-takes but in a more relaxed atmosphere... not a concert take! No editing, but the ability to just do several runs instead. Again, just in case the magic takes hold!

The website will need to be updated... and the next two concerts in August will need to start their publicity runs in a month... so, we will need to be prepared for that. The poster is ready to be printed, and some were distributed to the audiences this last cycle.

So, a well deserved moment of peace... in a few weeks, we will need to prepare the next pair of concerts. Some repertoire selection, and possibility the addition of another guest artists? Plus, organising the skeletons of projects for 2025! Eeep... plus, the financial year reporting and AGM/committee reports.
