Wrapping up the Administrative side of concerts!

... and this is the second part of the wrapping up set of posts. The first (yesterday) dealt with the wrapping up of the financial side of things. Thankfully, we kicked off our 2024 season with a great concert and a much better than expected ticket sales... and that has left us post-concert with a nice healthy buffer for the rest of the year... and combined with the buffer from our inaugural year, will allow us to perhaps burn a little bit extra to put in place some more ambitious plans next year! And this is in a year where we were NOT successful with arts funding! But unlike many other arts organisations, we are set up to run light and without funding... we don't have a large "organisational" overhead, and we are really heavily directed towards performance and education... no surprise, seeing as we run by musician-founders and not professional CEO/MBAs!

Anyway, we also need to wrap up the administrative side of things. Collating all the email addresses of ticket purchasers that wanted to be on our mailing list... this time, we collected quite a lot of extra email subscribers! We are pretty damn careful about adding people. I have heard of different organisations just ignoring preferences and wishes and just adding everyone... with the justification that they can just remove themselves, and that they wouldn't know about their future events otherwise. To me, that is pretty distasteful, and we won't ever do that.

Then there are the emails to write to everyone who has helped out in any shape... from volunteers through to new donors and supporters... and then a couple of social media posts to also thank everyone for attending. Then a last subscriber email, again to thank everyone for attending and supporting... and giving a little peek of our next concert, and also plugging some of guest artist's coming concerts.

We also need to get the programming set up for the coming months... our next chamber series concert is in mid-June... but in between, we have one regional concert, two outreach concerts, and an education presentation/concert as well! So, to prevent mass stress-out... we need to already get moving on finalising the programming and logistics for all of that.

Thankfully, we have learnt our lessons on the publicity front from last year... and we had the coming concert flyer and promotional materials ready to move AT the concerts that just past! This year, my wife is doing more of the work on that side of things... and that does free me up to concentrate on the other parts of the ensemble running.

... and in the coming weeks, we will also start to make contacts with various schools to see if there is interest in educational projects and concerts. Sigh... it is a bit of a mix of cold-emailing... and drawing upon existing contacts. Lots of things that I hate doing...

... and then to also to start planning for 2025, as well as potential regional tour as well. I do wonder if groups that are only entering their 2nd year of running are this crazy about running so hot so fast so early?
