Ensemble Annual Finances Done!

Phew... that was a little bit trickier than I had thought, but thankfully, I have been keeping pretty good track of expenses and income and that sort of thing... and we also have the benfit of things happening in small bursts around concerts, which makes it a bit easier for finding missing transactions and stuff like that.

The income part of the building the Finances for the reporting year was the easiest part... it is pretty clear where the income comes in from... and it appears cleanly in our bank account as well.

However, there was a little bit that I needed to go back to correct, so that I would be doing it properly from the start... and that was to do with ticket sales. Both the ticketing company and the payment processor have processing fees... that is how they are running their business... but we have decided that the ensemble should take those fees on-board instead of passing it on to our audience. I know that there is nothing more annoying than paying for a ticket and then getting slugged for another fee on top of that... so, we eat that part.

... and in the original reporting, I just reported the payments that landed in our account... but whilst I was tidying up everything for the annual financial report, I thought that I probably should do it properly and report the full amount taken in as income, and then subtract the processing fees as expenses... sort of annoying, as it is an extra step to get to the same place... but I think that it is what is supposed to be done.

Expenses were also easy enough to do, as I've been tracking them as soon as they come in. Record, pay out, and reimburse... all in the same few minutes. So, the expense sheet is really up to date.

However, the thing that did eat up all my time today was the mess that was happening during the time that the ensemble was transitioning from operating as an extension of me (as a sole trader) to being an incorporated association (non profit) with its own legal and financial identity.

During this time, there were reimbursements and set up fees that were being paid by me personally... this had to occur, as the ensemble could not legally get a bank account until it was a proper legal entity... and that process took a bit of time for the paperwork to be processed through the state government and then the federal tax office.

In that gap, there were a few things that seemed to have been missed in the record-keeping, and those needed to be hunted down and resolved... with the additional difficulty of the change of the financial year. Needless to say, it was a bit messy... but was resolved in the end.

Going forward, we have a better layout for reporting... and one that can be updated and reconciled weekly and that will be a lasting template for the ensemble going forward. A lot of the first year stuff has been setting up the infrastructure that we need for the future... and this has been part of it.

... next on the list of things to do, writing up an annual report. Otherwise known as, sounding like a privately educated AI who is better at writing about what they have done instead of doing things....
